Swanston Golf Academy Ltd (“we”, “our”) is committed to protecting your personal information. This policy explains how we and our coaches collect, use, store and share your data under UK data protection law (including UK GDPR). Section 3 explains who is responsible for which data.
1. What Information We Collect
When you book or attend golf lessons through Swanston Golf Academy Ltd, or register on behalf of someone else (including a child), we may collect the following personal data:
- Full name and address
- Phone number
- Email address
- Payment details (processed by Stripe; we never see or store your full card number)
- Age and gender
- Medical details such as injuries or allergies that may affect participation (used only to keep you safe during lessons, and shared only with the coach delivering your session)
- Any additional information you choose to provide to keep yourself or your child safe during lessons
2. Why We Collect Your Information
Contractual purposes. We need this information to book and manage your golf lessons; send booking confirmations and updates; contact you if a session needs to be rescheduled or cancelled; process payments securely; ensure your safety during lessons; and follow up on prior sessions or performance development.
Legitimate interests. We may also use your data to share coaching updates, events, and offers; promote participation in golf and academy programmes; and respond to questions, feedback, or concerns. 3. Who Provides Coaching Services
Swanston Golf Academy Ltd runs the academy and this website. Our coaches are independent and self-employed, and each is a separate data controller for the personal data used to book, take payment for and deliver your coaching. Our coaches are Mike McNally (McNally Golf Ltd), Scott Gillies, Thomas Bell, Aran Sinclair and Peter Arnott. Swanston Golf Academy Ltd is the data controller for website enquiries, The Swanston Note, and any booking taken through its own booking system as a coach's agent. To ask a coach about the data they hold, contact them directly or email info@swanstongolfacademy.com and we will pass your request on.
4. Who We Share Your Data With
We use trusted third-party service providers to manage bookings, communications, and secure payments. These include:
- Squarespace: website provider
- Acuity Scheduling: online booking
- Google Calendar: used for scheduling lessons
- Stripe: secure payment processor
- CoachNow: lesson videos, notes and communication between sessions
- Kit: The Swanston Note newsletter
- Google Tag Manager: website analytics

5. How We Protect Your Data
Your personal information is stored securely using third-party platforms with appropriate safeguards. Only authorised personnel have access, and your data is never sold or shared beyond what is outlined in this policy.
6. How Long We Keep Your Data
We retain your information for as long as necessary to provide our services. If you have not been a customer for more than 3 years, your data will be reviewed and may be deleted unless you request otherwise.
7. Your Rights Under GDPR
You have the right to access the personal data we hold about you ("Subject Access Request"); correct or complete inaccurate or incomplete data; request restrictions on the processing of your data; and request deletion of your personal information.
